We’ve all been there: it’s the day before service, and you suddenly realize a kids ministry room doesn’t have enough volunteers, or the tech team is missing a key role. Cue the last-minute texts, emails, and frantic scrambling.
That’s why we’re introducing gap alerts. Proactive reminders that help Team Leaders spot unfilled or unconfirmed positions before it’s too late.
How it works
Turn on gap alerts in the team settings page, and choose how many days before a service you’d like leaders to get an alert (anywhere from 1–7 days).
If the plan still has needed positions or unconfirmed people, all Team Leaders will automatically receive a summary email (and push notification, if enabled). This gives leaders time to follow up, resend scheduling requests, or make adjustments without the stress of last-minute shuffling.
What leaders receive
Each alert includes:
A list of all your teams that still have gaps.
Details about which positions remain unfilled.
A list of unconfirmed people, with quick links to resend requests.
And if you lead multiple teams, everything is bundled into a single message so nothing gets overlooked.
Why it matters
Scheduling volunteers isn’t just about filling boxes, it’s about making sure ministries can run smoothly, that your teams feel supported, and that your ministries can scale for future growth. For kids ministry in particular, under-filled teams can mean last-minute changes like closing or combining classrooms. With Gap Alerts, you’ll get a heads-up before things reach that point.
Try it out today
Head to the team settings page for any team you lead and look for the new alerts option under Scheduling Defaults.
No more last-minute surprises. Just peace of mind knowing your teams are ready.
